Overview

Dictionary defines the term School as "An institution meant for instructing and teaching children or people under college age". If history were to be referred the first of the school kind originated way back in 300 BC, when the Sumerians and the Egyptians started centers where reading and writing could be taught to a larger segment of the population. Also as per the Chinese history books, the great Chinese Philosopher Confucius during his life term (551–479 B.C.) imparted education by starting the first public schools.

A lot has changed since its origin, starting with the student’s, the staff, the syllabus, the administration and a horde of other activities that are embedded into the school system.

Need for an ERP?

Education has defined its significance in every stream of activity of our day to day lives. With more prominence being provided to education system, a higher % of the population is enrolling into schools, breaking through all barriers of class and creed.

In this golden era of Education, another significant field namely Information Technology has provided breakthrough solutions to manage and run a lot of day to day operations like Train/Bus reservations, Banking Sector, Online communication, Insurance industry and many more such domains. The benefits of IT and its products have provided a commendable solution to the techno savvy generation of the world.

Although every stepping stone to technology has been attained through education via schools, somehow surprisingly the administration in the schools still remain to be maintained in the most traditional format.  Records of Students, Staff, School administration activities, Fee Details are still maintained in Registers and receipts. These registers apparently are very susceptible to natural calamities and get worn out over a period of time. Apart from the overhead task of maintaining these records, Extra care must be taken to safeguard these records against pests, misuse, thefts and many more such damaging activities.  Loss of such important records is detrimental to the functioning of any school be it of any size.

How can a ERP solution help in the needs for a School Management solution and how will it work?

A more practical solution to the problems discussed could be through use of technology to maintain all the information through a Graphical user interface (GUI) into a Database. This system would have a centralized master and multiple nodes as interaction points for various activities, sending and retrieving information from the centralized master. The centralized master is integrated and available either over the internet or the intranet based on the Clients choice of network.

The centralized master would be functional and act like a server to the nodes placed in different departments of the school. Let us take for example the Fees Management System.

One node or computer would be present in the Fee collecting office which will be either directly or indirectly connected to the Centralized master. The following algorithm would be followed

Active Fee Collecting node

1.       Fee is collected from a student.

2.       Fee collecting operator fetches the information of the student whose fees is to be collected.

3.       Operator updates the payment section as received.

4.       Data is updated back into the database against the fee records.

5.       Report generated would state that Student has paid his fees.

What are its features?

The intention behind creating this ERP software is so that it facilitates all the administration activity of a school, and manages all operations, technically updating the backend system with the data keyed in by authorized personnel. With the use of this software all departments and individuals can be tracked without having the need to maintain any department specific register as all the data will be stored in the database powered by MySql.

It would also act as an application for monitoring all the activities within a specific department. Every Activity will be fed and reported into the system.

When the Administrator of the ERP for the school wishes to see the reports pertaining to the activities in a department, with a simple push of a button all data would be visible in a prescribed template format.

Student Data Management :

As with any school, the most fundamental information that it requires is the details of the Students studying in their schools. Parikshram enables and maintains the student related information on its database. Data of students can be Added, Deleted, and Edited by authorized personals of the school who have been given desired permissions to perform such operations.

Staff Details

The staff related details are segregated based on the categories , designations and other school based customized classifications which can be identified by the category types that are set while adding a staff.

Just like the Admin Staff who controls the details of the students and other staffs.  One such module in the ERP helps maintain the Staff details in the database. This part of the system helps store the qualification details, Payment details, Leave details of the staff and so on.
